Bulk Actions for Efficiency

Selecting Multiple Conversations

To take action on multiple conversations at once, use the checkboxes:

To select specific conversations: Click the checkbox next to each one

To select all visible conversations: Click Select All at the top of your list

To deselect: Click the checkbox again

Your selections stay selected even as you scroll.

Checkbox not working? Make sure you're clicking directly on the checkbox, not the conversation row. If you're still having trouble, refresh the page.

Bulk Mark as Read

When you've reviewed multiple conversations and want to clear their unread status:

  1. Select the conversations with checkboxes

  2. Click Mark as Read

  3. All selected conversations are marked read immediately

Bulk Mark as Unresolved

When you need to flag multiple conversations for follow-up:

  1. Select the conversations with checkboxes

  2. Click Mark as Unresolved

  3. All selected conversations move to your Unresolved tile


Tips for Managing High Message Volume

Prioritize with Filters

  • Morning routine: Check your Outstanding Actions tile first to see what needs immediate attention

  • Focus on VIPs: Filter by "High Affinity" to prioritize your most engaged supporters

  • Team distribution: Use the Assignment feature to divide work among team members

  • Clean up regularly: Archive completed conversations weekly or monthly to keep your main inbox focused

Use Canned Responses Strategically

Build a library of templates for:

  • Common questions (FAQs)

  • Thank you messages

  • Event information

  • Donation acknowledgments

  • Volunteer opportunities

The more complete your canned response library, the faster you can respond to high volumes.

Leverage Bulk Actions

Don't respond to similar questions one by one. Select all conversations asking the same thing and use Respond to Many.


Common Questions

Can I delete conversations? Inbox doesn't have a delete function.

What happens if I respond to someone who's opted out? The system won't let you send messages to opted-out subscribers. You'll see an error message if you try.

Can subscribers see each other when I use Respond to Many? No. Each person receives an individual message—they don't see other recipients.

How do I know if someone has received my message? Sent messages appear in the conversation thread. If there's a delivery issue, you'll typically see an error notification.

What's the difference between Broadcast Responses and List Messages?

  • Broadcast Responses: Replies to campaigns you initiated

  • List Messages: Conversations the subscriber started

Why can't I see certain subscriber information? You'll only see information that's been collected. If fields are empty, that data hasn't been captured for that subscriber yet.

How far back does conversation history go? Inbox shows your complete conversation history. Very old messages might take a moment to load—just scroll to the top of a conversation and wait.

What if I'm experiencing slow performance? Try using more specific filters to reduce the number of conversations loaded at once. Archiving older completed conversations can also help. Clearing your browser cache can improve speed too.

The page won't load or keeps freezing—what should I do?

  1. Refresh the page (Ctrl+R or Cmd+R)

  2. Clear your browser cache and cookies

  3. Try a different browser (Chrome works best)

  4. If issues persist, contact support
