Utilize event-based messages to engage attendees effectively before and after specific events. This is achieved by creating a custom field specific to dates and times, allowing for precise scheduling based on these parameters.
Requirements for Using the Feature:
You need a DateTime custom field and it needs to be populated at the subscriber level via import or API. Consult your Customer Success Manager (CSM) for implementation details.
Setting Up Custom Fields and Scheduling Event-Based Messages
Create a Custom Field:
Navigate to Settings> Custom Fields
Create a new field with the type 'datetime'. This will be used to schedule messages around specific events.
Compose and Schedule Your Message:
Create new message and write content personalized with details like the event name, date, or location.
In the scheduling section, select 'Event'.
Set the message to be sent a specific number of days before or after the event by choosing from the custom field date options. Custom fields are listed by creation date, with the newest at the top.
Define the Event Criteria:
Choose the exact custom field for date and specify the event location as part of your scheduling criteria. This ensures the message is relevant to the specific event.
Finalize and Schedule:
Review the number of recipients who match the criteria before scheduling.
Click 'Schedule' to confirm the message timing.
Monitor scheduled messages and their recipient counts in the 'Schedule' tab.
Important Guidelines
Timing Considerations: Avoid scheduling messages within 12 hours of the event to ensure timely delivery.
Recipient List Updates: The list updates every 5 minutes. Only subscribers who meet the current criteria will be included. Note that subscribers are not automatically removed or updated in the list if their profile changes.
Field Restrictions: Do not delete a custom field that is currently in use for event scheduling. The system does not recognize time—only the date in YYYY-MM-DD format.
FAQ's:
Multiple Events on the Same Date:
For multiple events on the same date, create separate datetime custom fields for clear segmentation. Include distinct details like date and location in the field description to avoid confusion.
DateTime Format:
Use the MM-DD-YYYY format. The system considers the date part only, not the time.
Handling Deletions and Edits:
Custom fields in use cannot be deleted; the trash icon will be disabled. You can edit messages scheduled with a specific custom field, but changes will apply only to future messages. For significant changes, consider creating a new message.
