How to Use Saved Staff Contacts for Test Messages

Sending test messages to your team just got easier. Instead of manually entering or pasting phone numbers every time you send a test, you can now save staff contacts with names and quickly select them from a searchable list.

Creating Your First Staff Contact

There are two ways to add phone numbers to your staff contacts:

Option 1: Add contacts while sending a test message

  1. Navigate to any message and click Send Test Message

  2. Type or paste a 10-digit phone number into the recipient field

  3. The number automatically converts to a chip (a rounded button with the phone number)

  4. Click on the chip to open the contact editor

  5. Add a Contact name (optional but recommended - this helps you identify the contact)

  6. Verify the Contact number is correct

  7. Click Save

  8. The chip now displays the contact name instead of just the number

  9. Click Send Test Messages to send the test

The contact is now saved to your account and will appear in your saved contacts list.

Option 2: Paste multiple phone numbers at once

  1. Copy a list of comma-separated phone numbers (e.g., 5555551234, 5555555678, 5555559012)

  2. Navigate to any message and click Send Test Message

  3. Paste the phone numbers into the recipient field

  4. Each number automatically converts to a chip

  5. Click on any chip to add a name and save that contact

  6. Send your test message

Note: You can paste phone numbers separated by commas only


Using Saved Staff Contacts

Selecting saved contacts

Once you've saved staff contacts, selecting them for future test messages is simple:

  1. Click Send Test Message on any message

  2. Start typing in the recipient field:

    • Type a contact name (e.g., "Sarah")

    • Or type a phone number (e.g., "555")

  3. A dropdown appears showing matching contacts, ordered by most recently used

  4. Click on a contact to add it to your recipients

  5. The contact appears as a chip with their name

  6. Continue adding more contacts or send your test

When you type in the recipient field, the dropdown shows:

  • Contact name and phone number (if you saved a name)

  • Phone number only (if no name was saved)

  • Checkmark icon next to contacts already selected (you can't add the same contact twice)

  • Edit icon (pencil) on hover - click to update contact details

  • Delete icon (trash) on hover - click to permanently remove the contact from your saved list


Managing Your Staff Contacts

Editing a saved contact

You can update contact information at any time:

From the dropdown:

  1. Type in the recipient field to show your saved contacts

  2. Hover over the contact you want to edit

  3. Click the pencil icon

  4. Update the contact name or phone number

  5. Click Save

From an added chip:

  1. Click on any chip in the recipient field

  2. Edit the contact name or phone number

  3. Click Save

Deleting a contact

To permanently remove a contact from your saved list:

  1. Type in the recipient field to show your saved contacts

  2. Hover over the contact you want to delete

  3. Click the trash icon

  4. The contact is immediately removed and won't appear in future searches

Important: This only removes the contact from your saved list. It doesn't delete the person's phone number from your account's subscribers.

Removing a recipient from a test (without deleting the contact)

If you've added a contact to a test message but want to remove them before sending:

  1. Click the X icon on the chip

  2. The recipient is removed from this specific test

  3. The contact remains in your saved contacts list for future use


Tips for Using Staff Contacts Effectively

Organize your contacts with descriptive names

Instead of just "Sarah," use:

  • "Sarah - English Reviewer"

  • "Tom - Spanish Reviewer"

  • "Maria - Compliance"

This helps when you have multiple reviewers for different purposes.

Discover saved contacts by clicking chips

After pasting or typing a new phone number, the chip shows just the number. Click the chip to add a name and save it to your contacts. Look for:

  • Pencil icon appears when you hover over a chip

  • Cursor changes to a pointer when hovering

Use comma-separated lists for bulk imports

If you're transitioning to staff contacts from a list you've been copying and pasting, you can paste the entire list at once (comma-separated), then click each chip to add names and save.

Keep your contact list clean

Regularly review and delete contacts you no longer use to keep your dropdown focused on your current team members.


Common Questions

Who can see my saved staff contacts?

Staff contacts are saved to your account, not your individual user profile. This means that all users within your account with appropriate permissions can access and use the same saved contact list.

What phone number formats are accepted?

The system accepts 10-digit US phone numbers. You can enter them in various formats:

  • Plain digits: 5555551234

  • With dashes: 555-555-1234

  • With parentheses: (555) 555-1234

  • With periods: 555.555.1234

  • With spaces: 555 555 1234

  • With +1 prefix: +15555551234

The system automatically normalizes all formats to a standard 10-digit number.

Can I send to both saved contacts and new numbers?

Yes! You can mix and match:

  1. Add saved contacts from the dropdown

  2. Type or paste new phone numbers

  3. Click chips for new numbers to save them

  4. Send to everyone at once

Why don't I see the pencil icon when I click a chip?

The pencil icon appears on hover over the chip. Make sure you're:

  1. Hovering your mouse over the chip (the cursor should change to a pointer)

  2. Then clicking the chip to open the contact editor

What happens to my saved contacts when I send a test?

When you successfully send a test message:

  • New phone numbers you entered are automatically saved to your contacts

  • Existing contacts you selected have their "last used" timestamp updated

  • Contacts appear in your dropdown ordered by most recently used, so your frequent contacts stay at the top


Troubleshooting

I pasted multiple phone numbers but they didn't convert to chips

Make sure your phone numbers are:

  • 10 digits each

  • Separated by commas

  • In a valid format (see "What phone number formats are accepted?" above)

Try pasting a smaller batch if you're pasting many numbers at once.
