How to Use the Blackbaud TeamRaiser Integration

Instructions on how to add your TeamRaiser event registrations into Tatango in real time to segment and automate your event text messages

Tatango's integration with Blackbaud's TeamRaiser adds new TeamRaiser event participant registration data to Tatango in near real-time after a registration is completed. Registration data like registration date, event date, event ID, captain status, constituent ID, team name and more is added to Tatango so you can:

  • Setup an automated welcome series to new participants

  • Exclude current participants from event recruitment texts

  • Segment texts by captains vs. non captains

  • Personalize texts with team name, local event name and more

  • Setup an automated participant countdown/coaching series across local events

How to Setup the TeamRaiser Integration

  1. Contact your Customer Success Manager

  2. During a discovery call, we’ll work with you to:

    1. Identify relevant TeamRaiser form data to capture, such as registration date, event date, event name, FR ID, event type, etc. to meet your audience targeting needs.

    2. Identify the best way to track text opt-ins and opt-outs in your LO instance

  3. All that’s required to enable the integration is to:

    1. Add custom code to your TeamRaiser registration thank-you page. We have a sample of the code you can use as a starting point

    2. Add a text opt in field to your TeamRaiser registration

    3. If it doesn't already exist, add a Luminate Online text opt-in or opt-out field


How to Use the TeamRaiser Integration

Once TeamRaiser registrant data is flowing real time into Tatango, there are many ways you can segment, personalize and automate your texts. Popular use cases include:

  1. Setup an automated participant welcome series

    To engage and coach participants soon after they register for an event, setup an automated participant welcome series. For example, you might send participant welcome messages 1, 7 and 14 days after an event registration. Here's how to automate a welcome message:

    1. Under the Schedule section, select the Schedule radio button

    2. Select Date In the drop down

    3. Enter the number of days after registration to send the message (the above example is 7 days).

    4. Select Days After in the drop down

    5. Enter the daily send time next to At what time?

    6. Finally, select your Walk Registration Date (Most Recent) field in the drop down to the right of "for"

      1. Note: your registration date field might have a slightly different name

    7. Under the Recipients section, click the Schedule button to activate the message


      The above welcome message will be sent daily at 7:35pm to anyone whose Walk Registration Date (Most Recent) field is 7 days ago.

  2. To send coaching texts to existing participants

    It's recommend to use the TeamRaiser FRID to target existing participants of an event.

    To target participants of one event, segment by "Tag is (FRID)":

  3. Exclude current participants from event recruitment texts

    There are different ways to do this. Here are some common approaches:

    1. To target all past event participants but exclude current participants, segment by "Event Date is before (current year)".

      1. The below example is targeting past participants whose Walk Event Date field is before 2025 and excluding participants whose Walk Event Date field is in 2025.

    2. To target your entire text list but exclude current participants, just use segment by "Tag is not (FRID)" and insert the FRID of the current event:

    3. To target participants from specific past events and exclude current event participants, segment by "Tag is (FRID)" or "Tag is (FRID)" AND "Tag is not (FRID)":

  4. Segment texts by captains vs. non captains


    To target messages to captains, under the Recipients section, select the Segmented List radio button. Then:

    1. Keep the first drop-down field as "Tag"

    2. Keep the second drop-down field as "is"

    3. In the third drop-down field from left, type in and then select the name of your captain tag. In the above example, the captain tag is named "2025_Walk_Team_Captain"

      To exclude captains or target non captains, use Tag is not (captain tag).

  5. Setup an automated participant countdown/coaching series

    To engage and coach participants leading up to an event date, setup an automated participant countdown series. For example, you might send participant countdown messages 30, 21, 14, 7 and 2 days before an event. Here's how to automate a countdown message:

    1. Under the Schedule section, select the Schedule radio button

    2. Select Date In the drop down

    3. Enter the number of days before an event to send the message (the above example is 7 days before the event).

    4. Select Days Before in the drop down

    5. Enter the daily send time next to At what time?

    6. Finally, select your Walk Event Date (Most Recent) field in the drop down to the right of "for"

      1. Note: your event date field might have a slightly different name

    7. Under the Recipients section, click the Schedule button to activate the message


The above countdown message will be sent daily at 6:50pm to anyone whose Walk Event Date (Most Recent) field is in 7 days.
